<p><strong>Job Summary</strong></p><p>Kutak Rock LLP seeks Office Services Assistant to join its Springfield office. The Office Services Assistant will provide general office, administrative, and some records management support. This position will be responsible for maintaining a professional office atmosphere, providing the highest level of hospitality, and performing a variety of general office functions while working collaboratively in a collegial environment.</p><p><br></p><p>This position is full-time (37.5 hours per week) and located on-site in our Springfield, Missouri office.</p><p><br></p><p><strong>Responsibilities</strong></p><ul><li>Professionally greet clients and guests of the firm</li><li>Ensure compliance with visitor and security policies</li><li>Coordinate and schedule conference room availability and hospitality</li><li>Ensure conference rooms are setup for meetings and maintained for use</li><li>Assist clients, guests, and employees with conference room equipment</li><li>Maintain positive relationship with property management and various firm vendors</li><li>Manage incoming and outgoing correspondence including emails, faxes, mail, and packages</li><li>Maintain inventory of office supplies and breakroom supplies</li><li>File and organize client records, invoices, and other important documentation pursuant to the Firm’s Document Retention Policy</li><li>Assist office personnel with records management</li><li>Assist in file closing procedures</li><li>Assist in record review and destruction follow-up activities</li><li>Read incoming material and sort according to file</li><li>Maintain inventory or control system</li><li>Trace missing file folders</li><li>Search for and investigate information contained in files</li><li>Other duties as assigned</li></ul><p><br></p><p><strong>QUALIFICATIONS: Skills and Abilities</strong></p><ul><li>Ability to work under pressure of deadlines</li><li>Ability to prioritize and multitask</li><li>Keen attention to detail</li><li>Excellent organizational skills</li><li>Ability to work independently and with little supervision</li><li>Strong sense of ethics</li><li>Ability to handle confidential materials with discretion</li><li>Knowledge of basic Microsoft Office products (e.g., Microsoft Word)</li><li>Knowledge of numbering and filing schemes</li><li>Flexibility to work overtime outside of normal scheduled hours</li></ul><p><br></p><p><strong>QUALIFICATIONS: Education and Experience</strong></p><ul><li>High School Diploma, or equivalent required</li><li>One to three years of related work experience preferred</li></ul><p><br></p><p><strong>Position Information</strong></p><p><strong>Status:</strong> Non-Exempt</p><p><strong>Salary Range: </strong>$32,000 - $36,000 Per year, commensurate with education and experience.</p><p><strong>Work Arrangement:</strong> In Office</p><p><strong>Physical Demands: </strong>Ability to move objects weighing up to 50 pounds</p><p><br></p><p><strong>Benefits</strong></p><p>Medical, Dental, Vision, Life, Dependent Life, Disability, and Accidental Death & Dismemberment insurance.
